Payroll Processing

A growing number of companies choose to outsource the activities related to payroll processing to an external service provider, because:

  • this is a routine business process inevitably accompanying the activities of any company, but it is not essential to it;
  • this activity is not a profit centre;
  • quality processing (especially when there is a large number of employees in various positions) requires the investment of resources, such as computer systems and software, reliable data warehouses, trained professionals, etc.;
  • the risk of error is high, but with outsourcing the responsibility is transferred to the contractor;
  • if the processing is performed by in-house staff it is difficult to enforce confidentiality and the information can easily spread throughout the organization.
TechnoLogica offers a unique service for the outsourcing of payroll processing by providing clients with the capability to use remotely the full set of procedures for personnel selection, administration, evaluation, training and development of the HeRMeS® Human Resource Management System.

The outsourcing of payroll processing to TechnoLogica can be combined with the use of the various self service procedures of HeRMeS®. Thus managers at all levels as well as employees outside the HR department get automated access to information and actions that match their role in the organization.

The HeRMeS® self service modules enable employees and managers to see specific information and to personally take specific actions in various HR processes, such as recruitment, annual leave, creation and management of schedules, skill assessment tests, etc. This eliminates the need for handling and moving large volumes of paper documents, while providing better information to employees and helping with their integration into the corporate policies and culture.

By using HeRMeS® for the outsourced services we are able to define and maintain an absolutely identical structure of cost centers as in the main ERP or financial system and for each cost center there can be several analytical dimensions. In this case we can develop an interface for automatic transfer of the processed payroll into other external systems, such as ERP, accounting, banking, etc.

TechnoLogica performs the following activities as part of the payroll processing out-sourcing services:

  • registration and administration of operational data regarding the recruitment and reappointment of employees, medical and paid leave of absence, overtime, schedules and shifts, bonuses, certificates of employment;
  • calculation of the monthly remuneration for each employee in compliance with the regulatory requirements and the client’s corporate policy;
  • generation of files for import into banking, accounting and financial analysis systems as well as external institutions, such as the National Revenue Agency, the National Social Security Institute, the National Statistical Institute, the General Labor Inspectorate Executive Agency;
  • generation of analytical information, summaries, payrolls, consolidations by cost center as well as personal documents – income tax information returns, certificates of income, retirement-related forms, etc.;
  • generation and printing of pay slips;
  • calculation of remunerations for special service contracts and management contracts and generation of the required documentation;
  • generation of client-specific reports facilitating executive decision making;
TechnoLogica has its own information centre equipped with all resources required to work with HeRMeS®, including hardware (servers and printers), licensed software (operational system, Oracle DBMS) and communications. The center provides clients with the option of remote access to the needed system functionality without having to administer the database or to maintain the necessary hardware and software.
